Event Sponsors support the Kahibah Village Fair and the activities of the Kahibah Village Alliance inc, and will be promoted by us. Naming and Gold level should talk to us directly.
The aim of the Fair is to bring the community together, meet your neighbours and have some fun.
The organiser is the [Lake Macquarie] Sustainable Neighbourhood Alliance Inc and run by Kahibah Village Alliance Inc together with Greater Charlestown Sustainable Neighbourhood Group (GCSNG) and Glenrock Anglican Church.
Location: Kahibah Memorial Park (Hexham St and Kahibah Road).
Note site layout was modified with input from Council on 1 August, these changes are being applied and may change again.
Note for marque hold-down, weights are required. LMCC has banned ground pegs - we have a limited access to water weights and these must be organised with us before the event.

The vehicle entrance will be accessed from Hexham Street next to the Bus Shelter (near Glebe St intersection) from 6:30 to 8:00am.
All vehicles must exit the site before 8:15am to comply with LMCC requirements. Only vehicles approved by LMCC one week prior to the event will be allowed to remain on the site with conditions (coffee van for instance).
Selling area will be as advised by the organizers.
Toilets are available onsite.

GENERAL INCLUSIONS: A registration allows a stallholder to sell goods or promote their organization or business within the size specifications of your stall as marked only.
TERMS AND CONDITIONS:
1. The allocation of a stall at the Event is subject to the Organiser accepting the registration of the Stallholder. Each stallholder single-space will have a plot 3.0 m by 3.0 m - the sites will be marked out on the ground. Gazebos (or marquees or similar) are not compulsory, and if you wish to use a gazebo, it must fit within the space you book and be secured to the ground with weights (no pegs allowed).
An allowance for community stalls or businesses that require a larger space is available upon request. Please advise on the registration form.
2. The Organiser reserves the right to refuse to accept the application of a Stallholder without providing reasons. Without limiting this right, the Organiser reserves the right to refuse to accept late applications.
3. Stalls must be conducted and follow sustainable practices set out by LMCC.
4. Registration. Register your details with KVA, pay the registration fee of $35.00 for single sites and $65.00 for double sites. All stall fees are payable in advance. Once the Organiser accepts an application, there will be no refunds under any circumstances.
5. Stalls do not include access to water or power. One water tape is present on the site. The Organiser's approval must be obtained to use a generator.
6. A Stallholder who sells or supplies foodstuffs must comply with all applicable State & Lake Macquarie City Council laws relating to the handling and supply of food.
7. Stalls must be kept clean and the cleanliness of each stall and surrounding area is the responsibility of each Stallholder – all goods and rubbish must be removed by the stallholder at the end of the event.
8. The Organiser reserves the right to determine the types of stalls allowed and the location of stalls at the Event. Specifically, stalls should not sell alcohol, nor dangerous or illegal goods or services.
9. Each Stallholder is responsible for any goods sold and/or services provided by it at the Event. No responsibility is accepted by the Organiser for faulty or unusable goods.
10. Each Stallholder agrees to abide by the directions of the Organiser and to comply with all applicable laws.
11. The Organiser reserves the right to reschedule or cancel the Event without providing reasons. The Organiser will not be liable for any loss of a Stallholder arising from rescheduling or cancellation. In case of poor weather a decision will be made prior to the start of the event. Stallholders should provide a mobile phone number and will be notified by a mobile phone message.
12. Stallholders that are a registered business or organisation require a Public Liability Insurance Certificate of Currency with a minimum of $20M provided to the Organisers at least seven days before the event (LMCC Community land use requirement). WWC and Health MP are also likely to be required prior to accessing the site.
13. The Stallholder agrees to indemnify the Organiser (and all employees, agents and officers of the Organiser) from and against all claims, losses, costs or damages suffered or incurred as a result of or in connection with:
(a) personal injury to or death of any person or damage to any property caused by or contributed to (but only to the extent of the contribution) by the Stallholder’s participation in the Event;
(b) the sale of goods or provision of services by the Stallholder at the Event;
(c) the Stallholders breach of these conditions; or
(d) any negligent or unlawful act or omission or wilful misconduct of the Stallholder or any employee, agent or officer of the Stallholder.
STALL SET UP / PACK UP PROCEDURES:
• No stalls are to be set up without the permission of the Organiser.
• Each Stallholder will set up only on the area allocated by the Organiser.
• Set up is from 06:30 on the day of the Event.
• Stalls must be set up by 08:15 on the day of the Event.
• Equipment (including tables, gazebos/marquees) and any items for sale must be contained within the area allocated for the stall.
• Stallholders must remove their cars from site by 08:15. Only vehicles with Organiser and LMCC approval seven days before the event will be allowed to remain on site.
• Stalls must not be dismantled before 12:45 on the day of the Event – unless agreed to by the Organiser on the day.
• Stalls may be packed up from 13:00 and the stall site (including all waste) vacated by 14:00pm on the day of the Event.
• No in-site vehicle movement will be allowed between 08:15 and 13:15. – unless agreed to by the Organiser on the day.
• Vehicle entry and exit to stall area will be via the designated access gate off Hexham Street only.
Refunds up to 14 days before the event, Full Refund 14+ days notice. Except for exceptional circumstances determined by Organizers, there are No Refund within 14 days due to event costs.
